The Shortmat bowls runs for 4 hours a week but the outdoor green will operate as a private club potentially running every day 10am-6pm from April to September = 1,200 Hours. Careful thought must be given to organising this ‘properly’ as a mini club

– **Chair** — Leads the club, chairs committee and general meetings, helps keep decisions fair and practical, and acts as the main representative to the retirement village management and any external bowls bodies.[2]
– **Secretary** — Manages agendas, minutes, correspondence, notices of meetings, membership records, and key club documents.[2]
– **Treasurer** — Oversees subscriptions, banking, payments, budgets, and simple financial reports to the committee and annual meeting.[3][4]
### Bowls operations
– **Outdoor Secretary** — Oversees the club’s playing programme across both indoor short mat and the outdoor green, including roll-ups, internal competitions, taster sessions, and development of new bowlers.[5][6]
– **Indoor Short Mat Lead** — Organises indoor sessions, manages mat-specific equipment, and ensures that less mobile or beginner residents can access regular play in a friendly format.
– **Outdoor Green Captain** — Organises outdoor roll-ups, friendly matches, and etiquette on the new 3-rink green, and works with the facilities contact on playing conditions.[5]
### Support roles
– **Green and Facilities Liaison** — Acts as the single point of contact with the village management for the new grass green, indoor playing space, storage, access, lighting, seating, and maintenance matters.[7][5]
– **Welfare and Wellbeing Officer** — Supports an inclusive, welcoming environment for older residents, keeps an eye on safe participation, and helps new or less confident players settle in.[8][2]
– **Social Coordinator** — Organises social bowls sessions, welcome events, refreshments, and simple community activities that help turn the club into a regular part of village life.[8][9]
### Recommended minimum version
If volunteer numbers are limited at launch, the club can begin with five formal positions: Chair, Secretary, Treasurer, Bowls Coordinator, and Green and Facilities Liaison.[1][2] Indoor, outdoor, welfare, and social duties can then be assigned informally until membership grows.
